Control when your sequences send, what happens when prospects reply, and how to measure each follow-up. Open Sequences, select a sequence, and use Configuration, Analytics, Prospects, or Queue to review its setup and results.
1. Email Sequence Settings
Configure these options in Step 3: Settings when creating or editing an Email Sequence. The sending schedule determines when a follow-up is allowed to go out; it does not replace the delay configured for each follow-up template.
Sending schedule: time zone, sending times, and sending days
Time Zone determines which local clock the schedule follows. Sending Times sets the allowed daily sending window, such as 9:00 AM to 5:00 PM. Sending Days selects the days on which emails can send, including individual weekdays and weekend days.
For example, select Eastern Time, 9:00 AM to 5:00 PM, and Monday through Friday for a weekday-only schedule. A follow-up that becomes due outside the permitted window waits until sending is allowed again. Check the configured time zone if messages appear to be scheduled for unexpected hours.
Click tracking: what does the toggle measure?
Under Tracking and Reply Handling, turn on Click Tracking to track when recipients click links in sequence emails. Turn it off if you do not need link-click measurement. This setting measures link clicks, not whether a prospect replied or booked a meeting.
Reply handling: stop, pause and resume, or keep sending
Choose what happens for an individual prospect after they reply:
Stop the sequence: The prospect receives no further automated follow-up steps from that sequence.
Pause, then resume after X days without a response: Enter a number of days, such as one. The sequence pauses when the prospect replies. After a member of your team replies and the prospect remains silent for the configured period, the sequence resumes at the next step. Every new prospect reply pauses the sequence again.
Keep sending: Follow-up steps continue even if the prospect replies.
Example: A prospect replies on Monday. Your teammate answers. If the prospect does not respond again for one day, the sequence can resume with the next scheduled follow-up, subject to its sending schedule.
Daily limits: maximum email messages per day
Set the Daily Limits value to cap the total number of messages this sequence sends in a day across all connected sending accounts and follow-up steps. For example, a limit of 20 is a sequence-wide cap, not 20 messages per mailbox or 20 messages for each follow-up step.
Daily limits control volume. The sequence's sending days, sending times, and each template's delay still determine when an individual follow-up is eligible to send.
Backup channels: order, failures, and mailbox changes
Select connected Backup Channels and place them in priority order. If the assigned channel can no longer send, for example because SMTP is down, the sequence tries the first working channel in that list for the next step. A backup channel on the same domain is recommended for sender consistency.
Do not confuse a sending failure with deleting a mailbox. Deleting a mailbox that owns an existing thread can leave that thread without a usable sending channel. Backup channels do not guarantee automatic recovery for a deleted thread-bound mailbox. Disconnecting a channel instead preserves the existing association for recovery.
2. Meeting Reminder Settings
Meeting Reminder Sequences use a different setup. In Reminder Template, select the Deliver on channels (beta) option, configure reminder messages, subjects, and cadences relative to the booked meeting, and add more steps with Add Another Reminder.
What can I configure in Meeting Reminder Settings?
In Step 2: Settings, choose the Schedule Time Zone, enable or disable Click Tracking under Tracking and Reply Handling, and configure Daily Limits, including batch size and the sequence-wide daily email-message cap across accounts and reminder steps.
The three Email Sequence reply-handling options are not part of this Meeting Reminder settings screen. After configuring settings, select Next and choose Run Sequence to activate the reminder sequence or Archive Sequence if you do not want to run it.
3. Understanding Analytics
Open a sequence and select Analytics. The overview shows how many prospects entered the sequence, how many emails were sent, and how prospects responded or progressed. Use the sections below to distinguish activity, outcomes, and processing status.
Performance overview: every metric explained
Prospects: Total prospects associated with the sequence. This is a prospect count, not an email count.
Emails Sent: Messages sent across the sequence's follow-up steps. One prospect can receive multiple emails, so this may be higher than Prospects.
Replied: Prospects who replied, together with the reply rate shown in the interface.
Converted: Prospects recorded as converted, together with the conversion rate.
Completed / Idle: Prospects whose sequence has completed or who are currently idle.
Processing: Prospects whose sequence activity is being processed.
Failed: Prospects whose sending or processing encountered an error.
Unsubscribed: Prospects who opted out.
Compare Prospects, Emails Sent, and Replied together. For example, 50 prospects and 90 emails sent means some prospects have received more than one sequence step; it does not mean 90 unique prospects were contacted.
Activity Over Time: when messages and replies happened
Activity Over Time charts sending and reply activity across the selected period. Compare Sent and Replied to understand whether outreach and responses are rising or falling over time.
Use this view to examine the timing of activity, rather than the progress of a particular prospect or follow-up step. For step-level performance, open Step Funnel instead.
Step Funnel: what each column means
Step Funnel breaks down results for each configured follow-up step:
Step: The individual follow-up in the sequence.
Sent: Emails sent for that step.
Replied: Replies associated with that step.
Converted: Conversions attributed to that step.
Waiting: Prospects waiting before that step can proceed.
In Flight: Prospects currently being processed for the step.
Use the funnel to see how many prospects reach later follow-ups and which steps generate responses. A prospect waiting for a step is not the same as a message that has already been sent.
Current Status Breakdown: completed, processing, failed, queued
Current Status Breakdown groups prospects by their present processing state:
Completed / Idle: Finished or currently idle.
Processing: Currently being processed.
Failed: Encountered a processing or sending error.
Queued: Waiting for an upcoming sequence action.
Use this breakdown to distinguish a prospect who is waiting from one who encountered a failure. Open Queue for timing details.
4. Configuration, Prospects, and Queue
Configuration: where can I review the setup?
Open Configuration to review the sequence's enrollment conditions, follow-up templates, sending schedule, reply handling, daily limits, and backup channels. Select Edit when you need to change the sequence.
Prospects: who is in this sequence?
Open Prospects to see the prospects associated with the sequence. Use it to review who has entered the sequence before investigating their next step or sending status in Queue.
Queue: Scheduled Ahead versus Due Now
Open Queue to review prospects waiting for their next action. Scheduled Ahead means the scheduled sending time has not arrived. Due Now means the prospect has reached the scheduled time and is ready for processing.
If a follow-up has not been sent, check its scheduled time, the permitted sending days and hours, reply-handling status, and whether the sending channel is working. A prospect appearing in Queue does not by itself mean an email has already been delivered.
5. Running and Managing Sequences
Run, Pause, Edit, Clone, and Archive
Run: Activate a configured sequence so eligible prospects can be processed.
Pause: Temporarily stop the sequence from progressing while it is paused.
Edit: Change its configuration, such as templates or settings.
Clone: Create a copy to reuse the setup for another sequence.
Archive: Stop sending and move the sequence to the Archived list while preserving its analytics and history. Archived sequences can be restored later.
Use the status tabs All, Running, Paused, Draft, and Archived to locate sequences by state.
What is the Sequence ID used for?
When viewing or editing a sequence, you can copy its Sequence ID for conversion postbacks. This identifies the sequence when recording conversions through an integration.
If a follow-up seems late, check Queue, the configured sending window, the prospect's reply-handling state, and the sending channel before changing the cadence.
