Why trust this list?
This list is written by the Master Inbox team and reviewed by our founder, Abdul Mukati. Every feature and price for the other six tools comes from that vendor's own pages, read on 28 October 2026, and the sources are listed at the bottom. Master Inbox is one of the seven options, and we say so up front. We state only what each vendor publishes, phrase limits as neutral facts and leave out ratings. Each tool here does its own job well.
Why teams look for a unified inbox for cold email
Cold email produces replies in many places at once. Teams usually start looking for a unified inbox for one of three reasons.
Replies scattered across tools
Every sending tool has an inbox for its own campaigns. When a team runs more than one tool, a rep has to check each one. A unified inbox collects the replies in one queue. The reply management glossary entry describes the job.
Intent, routing and speed
A "yes, send times" reply is worth more when it reaches a person in minutes. Teams want labels that separate interested replies from out-of-office notes, and routing to the right person. Our response SLA guide covers why speed matters.
Clients, teammates and the CRM
Agencies need a view per client. Sales teams need replies logged in the CRM. Both want teammates to join without a per-seat bill.

1. Master Inbox
Master Inbox is the reply management platform for outbound teams and agencies: one unified inbox for every sequencer, LinkedIn tool and inbound form, with AI labeling and AI reply agents.
Key features
- Unibox: one AI-labeled inbox for Smartlead, Instantly, EmailBison, Reply.io, Lemlist, HeyReach, Expandi, Aimfox and more. It reads the mailboxes themselves, so it also threads forwards, CC replies and new-address replies that a sequencer's own inbox does not show.
- AI labeling: every email and LinkedIn reply labeled by intent as it lands, with thirteen default labels or your own taxonomy, on your own OpenAI, Anthropic or OpenRouter key.
- Workflows: label-triggered actions inside the inbox, such as Slack cards, HubSpot sync, stopping the sequence on a booked meeting and webhooks.
- Client workspaces: one workspace per client with its own mailboxes, labels and members, with client logins scoped to their inbox only.
- Reply Agents: answer outbound replies, follow up and book meetings on your real calendar, human-in-the-loop first.
- LinkedIn Inbox, API and reporting: HeyReach, Expandi and Aimfox threaded next to email per prospect, a REST API with webhooks on every plan, and SLA tracking on every reply.
Pricing
Master Inbox is never priced per seat. Plans scale with connected mailboxes and client workspaces, and every plan includes unlimited users. Full details are on the pricing page.
| Plan | Price | Built for |
|---|---|---|
| Reply Agent | From $499 per month | Reply agents that answer, follow up and book meetings |
| Agency | $599 per month | Agencies, with up to 3,000 mailboxes and 15 client workspaces |
| Team | $799 per month | Sales teams, with up to 2,000 mailboxes |
Agencies with fewer than 5 clients can start on The Ramp at $299 a month. Larger plans are listed on the pricing page. Every plan starts with a free 7-day POC, and onboarding is done with you.
Pros
- Replies from every sending tool and from LinkedIn land in one queue, labeled by intent.
- Unlimited users on every plan, so adding a rep does not change the bill.
- Master Inbox internal data shows roughly 12% more replies captured than a sequencer reports.
- EU hosting in Finland and Germany, GDPR-ready, and white-glove onboarding.
Best for
Outbound sales teams and lead generation agencies that send from many mailboxes, several sequencers and LinkedIn accounts. See Master Inbox for agencies and for outbound teams.
Works alongside
Master Inbox works alongside the tools you already run. Keep Smartlead or Instantly for sending, with their sequencing, rotation and warmup, and add Master Inbox for the replies. It also connects EmailBison, HeyReach, HubSpot and Slack, so the stack you have keeps working.
2. Smartlead Master Inbox
Smartlead's Master Inbox is the reply inbox inside Smartlead, a cold email platform with sequencing, mailbox rotation and warmup. Smartlead is an excellent sending tool, and Master Inbox customers who use it keep it for sending. The name is shared with masterinbox.com, which is a separate product. See Smartlead Master Inbox alternatives.
Key features
- Replies from multiple mailboxes appear in one view with one login. Smartlead's headline is "One unified inbox for every cold email reply."
- Replies can be tagged by sentiment or context, and out-of-office, bounce and unsubscribe replies are detected and tagged. Filters cover sender, tag, reply type, campaign and time.
- Replies can be assigned to teammates with internal comments, and saved Views can be shared with the team. Smartlead also lists Slack alerts and pushing replies into a CRM.
Pricing
Per Smartlead's pricing page, checked 28 October 2026, plans are Base at $39, Pro at $94, Unlimited Smart at $174 and Unlimited Prime at $379 per month on monthly billing, with lower per-month figures on annual billing. Every plan includes unlimited email accounts. Plans scale by contacts and monthly email sends, and a free trial is offered.
Pros

- Unlimited email accounts on every plan.
Cons
- Per Smartlead's help center, the inbox shows replies to Smartlead campaigns.
- LinkedIn is not part of the Master Inbox in the documentation reviewed. Smartlead's blog says LinkedIn steps can be added through its HeyReach and Aimfox integrations.

How to choose a unified inbox for cold email
Start with where your replies come from, then check how the bill scales.
- Replies from several sending tools and LinkedIn in one queue: choose Master Inbox. It reads the mailboxes themselves and labels every reply by intent. Compare the options on our compare page.
- One sending tool, one inbox: use the inbox that comes with Smartlead or Instantly, and add Master Inbox later without moving your campaigns.
- A shared team inbox with collaboration: look at Front or Missive, both built around a team working conversations together.
- Sending and inbox from one platform: Lemlist and Reply.io include an inbox with their sequences.
Then check the pricing unit. Smartlead follows contacts and sends, Instantly follows subscriptions, Front, Missive, Lemlist and Reply.io follow people, and Master Inbox follows connected mailboxes and client workspaces with unlimited users.
